Quote faster. Revise cleanly. Invoice without retyping.

Build quotations from your product master with GST already applied, keep every revision on record, then carry the same details into proforma invoices, sales orders and invoices.

Problems this solves

Problem

Every quote rebuilt by hand

Rates, GST and terms are retyped from the last quote.

Problem

Lost revisions

Nobody is sure which version the customer accepted.

Problem

Advance payments in a separate sheet

A 30% advance is tracked outside the quote.

Problem

Documents that don’t look like yours

Generic templates, wrong numbering, missing bank details.

Build the quote from your product master

Pick a customer, a contact and a linked lead, then add products with units, rates, discounts and GST. Place of supply, validity, terms and the next number in your series fill in from your settings.

  • Products with units, GST rates and optional images on the PDF
  • Import line items from CSV for long quotes
  • Default terms, validity and notes from Quote Settings
  • Numbering series per document type

Revisions that keep their history

Revising a quotation creates R1, R2 and so on against the original number, and moves the new revision back to Draft. The list shows the latest revision, and earlier ones stay on record.

  • Quote statuses you define, such as Sent, Under negotiation or Won
  • Optional approval workflow before a quote is sent
  • Email the PDF with your email template, or share a secure link

From quote to proforma invoice, order and invoice

Raise a proforma invoice for the full value or a percentage, for advance and milestone billing. Convert to a sales order, then invoice and record payments received, all linked to the original quotation.

  • Full or partial proforma invoices against one quotation
  • Separate statuses and numbering for PIs and sales orders
  • TDS rates for customers who deduct tax at source
  • Your PDF templates, GSTIN, PAN, MSME and bank details on every document

Workflow example

How it plays out in a real week.

An illustrative example, using the steps NCRM supports.

  1. Day 1Quotation QT-2026-1161 goes out for 1,200 m of pipe, with GST at 18%.
  2. Day 3The buyer asks for a better rate. You revise to QT-2026-1161/R1, and the original stays on record.
  3. Day 5Accepted. A proforma invoice for a 30% advance is raised from the quotation.
  4. Day 9The advance is received. A sales order is confirmed, and an invoice follows on dispatch.

FAQ

Questions

Can we use our own quotation format?

NCRM includes PDF templates you choose from in Settings. If your format needs a layout NCRM does not offer, we can build one as paid customization.

Do we have to use proforma invoices?

No. A quotation can go straight to a sales order. Proforma invoices are there for advances and milestone billing.

How are GST and TDS handled?

GST rates live in a tax master and are applied per line item. TDS rates are kept for customers who deduct tax at source from your invoices.
